Written report submitted Report was accepted and seconded by the body. OAA didnt donate to region because insurance is going to be discussed at the next region and we will pay our insurance bill. Those meetings on the list now will be insured for $18 per group per year or $1300. Ask your home groups if they would like to donate money to the insurance fund, however the insurance premium will be paid either way. All events and meetings will be insured. Ask for certificates of insurance from Gina. 65 groups at this point will be insured and all groups in Monticello will be worked out through Gina. All meeting lists are updated at this point. We have been getting a lot of calls from parents who are looking for help with their children, She mentioned support group like Naranon. We have three men and three women answering calls, but all of them are in school, so we could use some other people to answer the phone during the day. You need 1 year clean time and a working knowledge of the 12 & 12 is required Hospitals and Institutions Gil M. Meeting was held and 11 people attended. 4 new members. $263 was spent on literature for October 10 commitments, 2 open (OCJ Mens and Sponsor Corner on Thursday) Went to Mid-Hudson Learning Day on 11/2 and it was a great experience going as a group. We will be going to the November 23 Regional Learning Day. We are planning to have our own Learning Day Literature Matt (transcribed from oral report) Small order this month only spent $450 for H&I and Area. Sold $600 last month and replenished ~ $200. Matt is making money and managing the literature very well he has been able to fill all group orders. Meeting List -Dan B. Questions were asked by Mark on meeting that we have on our list. Meetings in Sullivan are now searchable by county in the simple search on the Greater NY site. Copy of the new list was sent out via e-mail and waiting feedback on the format. Tentative goal is to switch list to Greater New York format in December or January ASC at the latest. The changes for the world are done. Registered with World and Mark H. has been updating. All of the Ellenville Meetings are part of ABCD now and should come off our website, also the Greenwood Lake meetings are not part of this region they are part of Northern Jersey. Subcommittees are wrong on the regional list and need to be updated. V. OLD BUSINESS Update on the traditions workshop Our area had 12 people to 15 people who attended and it was excellent. Several regions came: Staten Island, ABCD, Rockland and Lower Hudson Valley. It was very informative and fun. We broke off into teams and got into specifics on traditions 1, 2, and 3. We could all put in our input and the information will go to World. There were pictures taken to make a whole collage that World will display. Before we did the discussion portion, we watched a DVD of all the regions and countries around the world doing these tradition workshops, one of the biggest was Iran. Theyre willing to come up and host another one. Gina will coordinate with Rockland and they will cover 4,5, and 6. Bring this information back to groups and let them know it might happen if we are interested. We will be bringing the information back to GSRs as soon as it is set. After a lengthy discussion on policy, it was determined that an adhoc subcommittee would need to be formed to find a new space large enough and cheap enough to accommodate the Area Service meeting. They will be submitting this at the January regional session. Some technical issues still need to be addressed regarding sales, etc. The committee meets the 3rd Saturday of the month at noon. Traditions Book Workgroup Project Coordinator: Traditions book workshops are going well and there is a lot of enthusiasm around this new literature. Would like to have 4 regional workshops between 2014 and 2016, the finish of the project. Would like to hold these in different areas around the region. Further report, and proposed event budget is attached to the minutes. BOARD OF DIRECTORS REPORTS BOD Treasurer: The new rent is $2,360.90. Meeting with Quickbooks person on Monday to resolve aging reports. In the future, ENYR might buy meeting lists from our region. This would be in the spirit of unity. Hoping to have corrected meeting lists by the end of next week. Working on having someone from the insurance company come to answer questions. Further report is attached to the minutes. BOD Chairperson: Renovations have been started, and should be finished shortly. The glass wall will be moved. Office is doing well aside from the computer crashes, and the meeting list errors. A lot of the members of the BOD are having health issues. They are in major need of members to serve on the board. Next Board meeting is Saturday, October 5th at noon. REGIONAL CONCERNS LHV RCM would like to have clear, step by step instructions of what needs to be done to obtain insurance for special events. o Email BODsecurity@newyorkna.org (BOD Security) with requests for insurance for area events. Request should be submitted 2 weeks prior to the event. This is a temporary email until the new office manager is in their commitment. It seems like there is a miscommunication regarding the process of obtaining special insurance certificate. o BOD member informed body that emailing is the best means to obtain a certificate. Insurance applications can be found on newyorkna.org o If a meeting in your area meets everyday under the same name, all 7 meetings have insurance coverage separately. The insurance is based off the website database. Make sure that your areas meetings are all represented to guarantee insurance coverage. Lower Hudson Valley RCM would like to inform the body that she did not carry her areas conscious yesterday during the vote for the Vice Chair position. We moved to acclamation, and it was incorrect to do so. All elections must be done by written ballot. Lower Hudson Valley RCM is having a thrift shop theme event. Staten Island Area is hosting a Halloween Dance. Flyer is attached. ELI Area is having a Halloween karaoke costume party. October 26th at 9pm at Grace Episcopal Church Parish Hall 573 Roanoke Ave. Riverhead, NY. ELI Area is having trouble finding trusted servants for H&I and PI/PR. o Area is encouraged to attend subcommittee meetings in other areas to get ideas on how they encourage service. Kings Bay Area was concerned about the way the region dealt with the issue of the article about the USCC in the GNYR July newsletter. Manhattan Area is having 3 events. Fliers are attached. Motion Date: July 13, 2013 MOTION PASSED Motion Maker: GNRYSC Policy Chair (8-0-2) Motion: In clause N(1) of the policy delete sub-clauses (h) and (j) Seconded by: Bronx RCM Intent: Because these committees are no longer in effect or do not need access to a revolving fund. This is intended to update the policy to reflect the actual needs of the region. 2. Motion Date: July 13, 2013 MOTION PASSED Motion Maker: GNRYSC Policy Chair (8-0-2) Motion: To revise the first line of clause N(1) to read: The RSC shall strive, dependent on the availability of funds, to have a prudent reserve of $5,750. Also to add to clause 2(a) subject to the availability of funds. Note: Even numbered months, well be available for guidance via phone, email, and GoTo meeting. NEW BUSINESS Insurance FAQ: Areas can send any questions to the BOD chair. We will have all questions answered and the document will be sent out to all the RCMs. RCM orientation: Open Arms and Bronx Area would like to get orientation packets. We will hold the orientation after the Sunday session. CBDM implementation: CBDM give the whole body a voice. At our region the RCMs are supposed to be the ones conducting business. At Rockland Area they have CBDM, and everyone can be apart of the conversation. The idea can only be voted on by the GSRs or groups. This is a model we can reference at region. o Staten Island made a proposal to suspend the orders of the day in March 2014 to run one day of the session using CBDM. Regional Inventory: Would like the areas to bring back ideas on how this should be conducted, and what issues they would like us to look at. The guide to local service has an inventory we can use as a reference for ideas. WCNA raffle for the next convention in Brazil: We would love to hold another fundraiser for this event at $10 a ticket and allowing more time for fundraising efforts. This fundraiser would also go towards directly to NAWS to pay down the RSO debt. We would like to start the fundraiser in January of 2014, with a drawing in January of 2015. We will need to inform people of the need for a VISA to visit Brazil. Idea was proposed to have the regional weekend a one day session. o This idea was tabled, and will be addressed in the regional inventory. Issue of having one year regional service requirement for people nominated to service positions. o A motion will be made next session to adjust this policy We will hold off on elections for the Treasurer and Assistant Treasurer until November so we can talk to both of the nominees about this issue further. o After the session, both nominees were contacted and they were both okay with the adjustment in their nominations. Both service resumes are attached. The body decided to not waive clean time for the Helpline Chairperson. We appreciate his service and encourage him to continue to be involved with Helpline. We would love to him come back as chair when they clean time requirement is met. Newsletter policy review: Postponing policy review until a vote comes back on the motion to dissolve the committee. FINAL TREASURERS REPORT o Opening balance $1878.84 o Donations $3526.31 o Expenses: $5155.15 o Closing Balance: $250 Keeping $250 balance because we agreed to maintain $100 balance, plus we need an additional $150 to transfer to savings account in order to avoid fees. That $150 is then transferred back to checking account and fees are still avoided.
